Planning the Perfect Food Truck Event

Food trucks are the hottest trend in corporate meetings, employee appreciation events, even private parties. But hiring a food truck for your Philadelphia-area event brings a few logistical challenges you should consider well ahead of time. Here are a few pro tips to help you plan a seamless food truck experience.

Determine where the food truck will be located at your venue

Not all venues lend themselves to food truck catering. Steep hills, grass and other irregular surfaces may not be the right spot, so discuss this with your catering services team ahead of time. The best location may be along the perimeter of the event, where surfaces are more stable and food service will not compete with the focal point of the event.

Choose your menu carefully

Experts recommend streamlining the food truck’s usual menu or even asking for new dishes to make service simple and provide something for everyone, including vegetarian and vegan options if possible.

Calculate how much food you will need

Ask your caterer, “How many people can you feed in X amount of time?” The answer will let you know how many food trucks you will need to serve the crowd at your event.

Figure out when trucks should arrive

Having the trucks arrive as much as an hour ahead is a good move. The extra time allows for setup of signage, canopies, overhangs and trash receptacles.

Spell out what you want—and don’t want—trucks to provide

Should organizers create custom signage to identify the food truck and display the menu, or should the food truck catering team provide that? Should the host provide plates, napkins, and other items for a consistent look?

Devise strategies to keep the line moving

Teaming up with your food truck chefs to create a focused menu will prevent long lines from forming. Ease the wait by planning entertainment such as roving performers. Another strategy is to have food truck staff offering samples of items to guests in line.
